v2.3.7.1 Update IACUC Approval Notices via Protocol History (Email Communication)

Dear ORCA Users:
         
A brief note regarding a new ORCA feature:
 
IACUC and DLAR approval notifications are now available in ORCA! These approvals can be found by first selecting an IACUC protocol from your ORCA dashboard and then clicking the Protocol History button on the ORCA Protocol Information page. The IACUC approvals are available for new applications, amendments, progress reports and administrative changes. The DLAR approvals are available for animal transfers.

v2.3.7.1 Cage Card Inventory (Email Communication)

A brief note regarding a new ORCA feature due for release this evening:
 
We are adding a few of your active cage card inventory to the ORCA Protocol Information page. This is the page that displays information after selecting an IACUC protocol from your ORCA dashboard.
 
The new view appears below the Species section for approved protocols. Information displayed includes species, room(s) where the cage cards are located, active cage card count, per diem rate and daily cost.
 
The data is derived from the DLAR cage card inventory system maintained within PeopleSoft and reflects a single day indicated by the date shown. This will almost always be the previous day, NOT the current day.
 
The cage card inventory view in ORCA is restricted to PIs, Co-PIs and Delegates.  After looking through your protocols that include cage card inventory if there are questions, comments or feedback, send emails to lar@uthscsa.edu.

What's coming?

The Office of the Vice President for Research is pleased to announce the latest update to online IACUC applications.


Starting Monday, February 26, 2018, O.R.C.A. will allow any registered user to create a new application on behalf of another (a process we call Delegation).


In a new application the PI is initially the person creating it. The PI Name can then be changed to another ORCA user (or UT Health San Antonio employee), changing the role of the person creating the application to that of a Delegate.


Tips:

  • The person who initiates the new application, by default, will be listed in the Study Personnel section as a Delegate.
  • As is currently the case, applications submitted by a Delegate are routed to the PI for final approval and submission. An email notification indicating an application has been created on the PI’s behalf is sent.
  • If the Delegate should not be listed as a member of the Study Personnel they must be removed by the PI prior to final submission.
  • If an application is submitted without removing the Delegate it can be withdrawn by the PI prior to being assigned to an IACUC analyst, or the IACUC analyst can remove the Delegate on behalf of the PI.

IMPORTANT: Multiple ORCA windows in one browser

One you have logged in to ORCA, DO NOT open multiple windows or tabs to different protocols!!

If you want to copy content from one protocol to another we recommend using the Clone function within ORCA (using the Actions button on the Protocol Information page) or two different browsers (for example Google Chrome and Firefox).

If you do open multiple windows or tabs in the same browser ALL CHANGES you make will not be saved!

December 2016 (Email Communication)

Dear Animal Researchers,

We are releasing the next version of O.R.C.A (ORCA v2) soon. Full use of ORCA v2 will become available on January 3, 2017. ORCA v2 manages the submission of all business items to the IACP and IACUC including protocols (new and amendments), progress reports, administrative changes (study personnel, grants associated with animal use and occupational health and safety) and animal transfer requests. Planned feature releases are already in development that include animal inventory, so you can expect the system to continue evolving over time.
 
In preparation for this event we will be shutting down the current version at the end of business on Thursday, December 15.
 
As a result, animal ordering using the web requisition system will be unavailable on Friday, December 16 through Sunday, December 18. In addition, the Department of Laboratory Animal Resources will not be able to access animal protocol information in PeopleSoft nor process new cage card requests through PeopleSoft during this time. Please contact DLAR at 210-567-6166 should you need additional assistance relating to animal transfer, purchasing or inventory during this time.
 
Please try to have any animal transfer requests for the period December 16-January 3 entered into the current version of ORCA by end of business on Thursday, December 15.
 
In addition, the Institutional Animal Care Program (IACP) office will be temporarily closed for business from December 15, 2016 - January 3, 2017.
 
Leading up to the office closure, staff will be completing as many business items as possible that are currently within the office. IACP staff will also be reaching out to investigators requesting completion of all progress reports for protocols that will expire prior to January 6.
 
During the IACP office closure, information from all currently approved IACUC protocols will be transferred by teams from the Office of the Vice President for Research, IACP, the Institutional Review Board and the Office of Clinical Research to the new ORCA v2 platform.
 
We appreciate your understanding and patience during this transition period.  If you require emergent assistance regarding regulatory issues or approvals during this time contact the main IACP number at 210-567-8260.
